Getting a commercial cleaning quote is easy. Getting an accurate, comparable one takes a little preparation. Property managers who consistently land on fair pricing for good service share a few habits -- and all of them happen before the vendor ever walks the building.
Know Your Building's Configuration, Not Just Its Square Footage
Vendors don't price purely by the foot. Have your restroom count, floor count, elevator access, and lobby type ready. The more accurate that information, the more accurate -- and fair -- the resulting quote.
Define Your Scope Before the Walkthrough
Before inviting vendors in, write down exactly what you need: which zones, which tasks, what frequency, and what's non-negotiable. This prevents a vendor from quoting a stripped-down scope, and prevents you from accepting something that won't actually maintain the building.
Get Multiple Quotes
One quote gives you a number. Several give you a market. The spread between the lowest and highest bid for what looks like the same scope can be significant -- the cheapest bid often means understaffing or hidden exclusions, and the most expensive isn't automatically better. A middle-of-the-pack quote with a detailed written scope is usually the strongest signal.
Ask What's Not Included
Always ask vendors to state plainly what falls outside their quoted scope. This surfaces gaps before you sign, not after your first invoice.
Request References From Similar Buildings
A vendor that excels at retail strip centers may not be the right fit for a Class A office building with a staffed lobby. Ask for references from buildings with a similar tenant mix and configuration to yours.
Negotiate Strategically
- Offer a longer term in exchange for pricing stability
- Ask whether quarterly or annual invoicing changes the rate
- Bundle restroom consumables into the monthly rate for predictability
- Compare quotes gathered around the same time -- some quotes are only valid for a limited window
